The Program Coordinator will support the planning, administration, and delivery of the Minister’s Financial Foundations Program designed for ministers at the beginning of their ministry careers. The Program Coordinator collaborates closely with internal teams to maintain program offerings, compliance, and accessibility. The role may occasionally provide participant support to ensure a smooth and positive experience throughout the program.
What You'll Do
Develop and maintain a detailed program plan, sequencing work, managing timelines, and coordinating cross‑functional contributors across product, operations, compliance, technology, and customer‑facing teams.
Coordinate the end‑to‑end program calendar (cohorts, webinars, workshops, onboarding sessions), ensuring milestones, deliverables, and participant communications are executed on time.
Serve as the primary operational contact for program, coordinating with operational teams as needed for eligibility, account setup, required documentation, and first‑contribution processes.
Coordinate cross‑functional teams (marketing, member services, IT, vendor partners) to develop and deliver content, tools, and events that educate new ministers as needed
Partner with compliance, legal, and product/plan administration to maintain program materials, processes, and communications that align with regulatory requirements and organizational policies.
Track, analyze, and report program metrics
Provide case management support, resolving issues related to enrollment, contributions, account access, and program navigation with empathy and prompt follow‑through.
Manage program content and resources, including presentations, FAQs, email journeys, and knowledge‑base tailored to early‑career ministers.
Prepare supporting documents for governance activities, including status updates, dashboard metric reviews, steering committee reviews, and process documentation.
What You'll Need
2 to 5 years of experience in program coordination, project administration, or operational support within financial services, nonprofit, or related environments.
Bachelor’s degree in business, communications, organizational leadership, finance, or a related field (or equivalent combination of education and experience).
Strong program and project management skills, including the ability to manage timelines, coordinate cross‑functional contributors, and keep complex workflows on track.
Working knowledge of retirement plans, financial services operations, or benefits administration, with the ability to translate these concepts in clear, accessible language.
Strong attention to detail and the ability to manage documentation, compliance materials, and process accuracy in a regulated environment.
Proficiency with collaboration and productivity tools (e.g., CRM systems, project management platforms, webinar/virtual event tools, Lucid Chart or Visio, and Microsoft Office).
Excellent stakeholder management and communication abilities, including preparing leadership‑level updates, dashboards, and governance documentation.
Ability to work effectively in cross‑functional environments
Strong problem‑solving and prioritization skills, with the ability to work independently and manage multiple tasks in a deadline‑driven setting.
