About the Role:

Caring Network is seeking a part-time Administrative Assistant to support the Development office approximately 20 hours/week.  This vital professional will support the VP of Development and perform various administrative duties critical to the success of the department.  The ideal candidate is a proactive problem-solver with exceptional communication and organizational skills and meticulous attention to detail. He/She is professional, mature, teachable, and a fast learner.

Responsibilities Include: 

  • Perform administrative and office support, such as word processing, spreadsheet creation and manipulation, reports, emails, scheduling, ordering supplies, data entry and updating info in CRM, coordinate and produce small-batch mailings, etc.
  • Call donors to invite to events, thank, inform of upcoming mailings, etc.
  • Share the impact with mid-level donors, personally attend to their questions/requests
  • Schedule, train, and work with volunteers to help with Development Team needs
  • Ensure that notes and follow-up from volunteers are accurately documented in CRM
  • Manage and distribute receipt inserts 
  • Research new major donor prospects
  • Recommend and implement a simple Legacy Society program
  • Work with Special Events Manager to set up Vision Tours and with Marketing Manager to produce Vision Tour invites:  coordinate guest invite list, send invites, personally invite guests (calls, personal emails)
  • Ensure proper integration of event databases into CRM:  i.e. Vision Tour guests entered, Night For Life and Spring Fling guests entered, etc.
  • Provide support at events:  Night For Life, Spring Fling, Vision Tours, other major donor events
  • Organize custom mailing lists for communications to major donors
  • Check accuracy of pledges in CRM and update quarterly; prepare and send pledge reminder letters
  • Arrange and send mementos to donors and prospects
  • Administer business partner program; revise Business Partner Chart annually, keep names of business partners on our website current, identify new business partner prospects with an affinity for our work
  • Represent ministry at churches on occasion
  • Maintain the general email list for major donors, ensuring both members of household are subscribed. 
  • Attend monthly Staff Meetings, bimonthly Development Team Meetings
  • Work from Glen Ellyn office and attend occasional evening and weekend events at other locations
  • Maintain professionalism and strict confidentiality with donor and gift information and exercise discretion when interfacing with donors and prospects
  • Report to the VP Development regularly on progress and goals met.
  • Keep abreast of pro-life issues as they pertain to our state and country.
  • Perform general office tasks and other duties as assigned by the VP of Development.

Requirement

Candidate Requirements:

  • A committed Christian who demonstrates a personal relationship with Jesus Christ as Lord and Savior and is a participant in a local church
  • Maintains a steadfast and consistent life-affirming philosophy
  • Agrees with and is willing to uphold Caring Network’s Statements of Faith and Principle and Core Values
  • Enthusiasm for and commitment to the mission and strategy of Caring Network
  • Knowledge of pro-life issues and comfort in discussing them
  • Comfortable engaging in prayer with co-workers
  • Strong time-management skills with the ability to organize, coordinate multiple projects at once; to prioritize and problem-solve
  • Proficient with databases, Excel, Word, Outlook, and preparing and executing mail merges with the aptitude to learn new software and systems
  • Superb written and verbal communication skills - comfortable and professional speaking with donors in person and on the phone
  • Able to work independently and as part of a team
  • Able to work with volunteers and all levels of donors
  • Legible hand-writing
  • Exhibit honesty, integrity, dependability, initiative, flexibility, sound judgment and productivity
  • Familiarity with fundraising software (CRM) – Virtuous preferred

Salary: $18-$20/hr depending upon experience
